In a nutshell

This is a fantastic opportunity to join the Property & Facilities team as a Property Contracts Executive, here at Virgin Atlantic!

In this role you will responsible for the daily management and responsibility of Virgin Atlantic’s company vehicle fleet, utilities, stationery & printing, warehousing and archiving contracts. You'll also provide support to arranging events on Virgin Atlantic managed properties, as well as management of Virgin Atlantic property car parks (access restrictions).

Invoice management/tracking will also be part of your role, supporting the Property & Facilities strategy. Alongside this you will provide cover and support to Property Operations Manager – Non IFM and Property Contracts Executive.

Day to Day
  • First call and responsible for daily running of the following areas:
Archiving/Warehouse and stock control contract: controlling stock levels and arranging logistics of required stock.
Stationary and printing contract: first call of contact for stationery users, maintain the stationery catalogue and authorized users.
Company vehicle contract support: fleet audits, vehicle replacements and lease renewals, airport vehicle passes, insurance claims.
  • First point of call for company vehicle drivers.
  • Plus, ongoing collaboration with our Finance department to ensure invoices are being processed accordingly.
  • Financial variances accurately completed. Whilst making sure budget is maintained within agreed limit.
  • Support department budgeting process.

  • Ensure purchase orders are maintained so that all invoices are paid in accordance to their terms. Plus, ongoing collaboration with our Finance department to ensure invoices are being processed accordingly.

  • Working with suppliers and consultants to ensure supplies are maintained on cost effective tariffs.
  • Keep trackers to show trends in energy usage across our property portfolio.

  • Support organization to carry out events within VA properties.
  • Ensure H&S, RAMS and compliance adhered to.
  • Ensuring appropriate location and services are safe and available, causing no disruption to daily operation/functions.

  • Ensuring the correct use of car parks within the properties of Virgin Atlantic. Accurately maintaining the ANPR database.
  • Maintaining and establishing the relationship with car park management teams and technology supplier.

About you

You will be analytical, able to multi task and prioritise workload. Be well organised, able to coordinate activity. Must have financial awareness with ability to work confidentially and strategically.

Flexibility and confidence to work in unknown areas. Computer literate in all Microsoft packages, specifically Outlook, Excel and PowerPoint.

Must have good communication and interpersonal skills, attention to detail and ability to see opportunities for continuous improvement.
