Are you passionate about organising events and corporate hospitality? Could you provide creative and design input to event planning that will enable us to deliver the ‘WOW’ factor?
In a nutshell
Reporting into our Head of Marketing and Customer Service, this opportunity will be responsible for managing and coordinating Virgin Atlantic Cargo’s corporate hospitality and participation at industry exhibitions from concept to execution.
You will be involved in research, planning and preparation of worldwide scheduled events (including exhibitions where Virgin Atlantic Cargo are exhibiting).
Day to day
Creating the annual events schedule, reviewing this on a regular basis to account for planned changes and unforeseen challenges, updating and circulating accordingly. For each event you will create and maintain a comprehensive plan detailing activities, timelines, spend verses budget and key milestones.
Managing activities from researching potential venues/exhibition stand creation, through to the execution of each event all in accordance with the plan, the brief and the delivery timetable. Identifying potential risks and issues and instigating appropriate action to eliminate or mitigate the situation.
Creating and maintaining accurate records of each event, using this for future budget planning and demonstrating compliance with regulatory and legislative requirements. Controlling the event spend in line with the planned budget, to produce and manage a cost analysis for each event.
You will be responsible for the production, stock management and distribution of all promotional signage and material used at events world-wide. You’ll supervise the production by our approved suppliers of innovative signage and materials to suit each event.
Maximising the benefit to Virgin Atlantic Cargo of chosen industry supported events (e.g. awards ceremonies, industry conferences, gala dinners). Where required, you’ll invite guests, organise hotel bookings and transport and ensure accurate and timely communication with guests and staff attending.
To keep up to date of all industry and worldwide events for potential participation and awareness.
To protect brand integrity, you’ll manage the use of the Virgin Atlantic Cargo logo, the brand message and the creative impact to the best effect at events and exhibitions and on promotional material.
Do you love event management and providing amazing hospitality?
Ideally for this role, you will have extensive experience in event management. Being well versed to juggling many activities at the same time, you will have proven strong administration skills, with the capability to plan, organise and prioritise a number of competing activities. You will have the talent to anticipate and recognise dependences and re-plan where needed. You will also be an expert in all things PC (Word, Powerpoint, MS Office).
As an excellent communicator, you will be clear, concise and accurate taking into account a diverse audience. You will have the confidence to speak with people from all levels and industries.
